How can you write a final-year project report without spending whole nights on it? The answer has two parts: a clear writing method and a good command of the Word features that automate formatting. This guide gives you both, step by step.
In short: to write a final-year project report in Word, first prepare a detailed outline approved by your supervisor, apply the Heading 1, 2 and 3 styles to all your titles, insert an automatic table of contents, number pages by section, add captions to figures and tables, manage references with Zotero or Word's Citations tool, then proofread in three passes (content, form, spelling).
Step 1: start from a detailed outline
Before writing a single sentence, write a detailed outline: chapters, sections and, under each section, two or three key ideas. Have it approved by your supervisor. This outline becomes the skeleton of your Word document. For the standard structure, see our final-year project report example.
Step 2: set up the page layout once
Ask for your institution's template or guidelines. Otherwise, common settings are:
a readable font (Times New Roman 12 or Calibri 11/12);
1.5 line spacing;
2.5 cm margins (sometimes 3 cm on the left for binding);
justified text;
numbered headings (1, 1.1, 1.1.1).
Set these in the styles rather than paragraph by paragraph: you can change everything in one click if the guidelines change.
Step 3: use heading styles
This is the most important feature. Select each chapter title and apply the Heading 1 style, each section Heading 2, each subsection Heading 3. To customize a style, right-click it and choose Modify. To number headings automatically: Home tab, Multilevel List button, then choose a list linked to heading styles.
Benefits: the Navigation Pane (View, then Navigation Pane) shows your outline and lets you move whole sections, and the table of contents is generated automatically.
Step 4: insert an automatic table of contents
Place the cursor on the contents page, then References, Table of Contents, Automatic Table. Before each printout or PDF export, right-click the table, choose Update Field, then Update entire table.
Step 5: number the pages correctly
Front matter (acknowledgements, abstract, contents) is often numbered in Roman numerals (i, ii, iii) and the body of the report in Arabic numerals from the introduction onward. To do this:
Place the cursor just before the introduction, then Layout, Breaks, Next Page.
Double-click the introduction's footer and turn off Link to Previous.
Insert, Page Number, Format Page Numbers: choose Start at 1.
Go back to the first section and choose the i, ii, iii format.
Step 6: add captions to figures and tables
Right-click a figure or table, then Insert Caption. Figures have their caption below, tables above. Always state the source ("Source: 2026 survey" or the author's reference). Then References, Insert Table of Figures automatically generates the list of figures and the list of tables.
Step 7: manage citations and references
Two options:
Zotero (free): save sources from your browser, then insert them in Word with the Zotero plugin. The reference list updates automatically.
Word's Citations tool (References, Insert Citation): simpler, enough for about twenty sources.
Choose the required style, often APA 7: see our APA 7 guide with examples.
Step 8: write in the right order
The writing order is not the reading order. An efficient sequence:
Presentation of the host organization (during the first weeks of the internship).
Theoretical framework or state of the art.
Methodology and analysis of the current situation.
Solution and results.
General conclusion.
General introduction.
Abstract, acknowledgements and dedication last of all.
For the introduction and conclusion, follow our thesis introduction and conclusion. For acknowledgements: acknowledgements and dedication templates.
Step 9: write clearly
One idea per paragraph, stated in the first sentence.
Short sentences; avoid "I" unless allowed (prefer "we" or impersonal phrasing).
Every table and figure is commented in the text.
Abbreviations are defined at first use and grouped in a list.
Every borrowed idea is cited.
Step 10: proofread in three passes
Content: does each chapter answer the problem? Does the solution follow from the diagnosis?
Form: headings, numbering, captions, updated table of contents, stray blank pages.
Spelling: use Word's spell checker (Review, Editor), then have someone else proofread.
Finally export to PDF (File, Save As, PDF) and check the result page by page: this is the file the jury will read.

Frequently asked questions
How long does it take to write a final-year project report?
Several weeks. If you write during the internship, 2 to 4 weeks of finalization usually remain. If you start everything at the end, plan much more.
Can I write my report in Google Docs?
Yes for drafts and collaboration, but final formatting (sections, numbering, contents) is more reliable in Word or LibreOffice.
What goes in the appendices?
Useful but long documents: questionnaire, interview guide, screenshots, detailed statistical tables, authorized internal documents. Each appendix is numbered and referred to in the text.
How do I avoid plagiarism?
Cite all your sources, rephrase in your own words and put exact quotations in quotation marks. Institutions increasingly use detection software.
